What we collect
When you ask for a demo or contact us
- Demo requests: your name, work email, company and phone (optional), the type of demo, your IP address and the time you gave consent.
- Contact requests: your name, work email, phone and company (optional), the product and topic, your message, your IP address and the time you gave consent. Our team may add notes about the conversation.
When your business is a customer
- Business details and contacts (name, legal name, address, contact person, email, phone, country, time zone, currency).
- Customer portal accounts: email, name and role of the people you add. Sign-in uses single-use email links; only a hashed form of each link is stored.
- Subscriptions, add-ons, invoices and payment records (method, reference and date — never card numbers).
Data your business enters in our applications
Members, clients, staff, products, sales, appointments and similar records are entered by your business. For this data your business decides what is collected and why; we store and process it only to provide the service. Each business has its own database in each product.
Logs
An audit log of administrative actions (who did what, when, with the IP address and browser), technical records of the calls between our platform and the applications, and usage figures (for example the number of members or staff) compared with your plan limits.
Why we use it
- To create and run your demo, trial or subscription, and to send the emails that belong to it (demo access, expiry warnings, sign-in links, invoices).
- To answer your request and follow up on it.
- To bill the service, keep accounting records and prevent abuse (rate limits, audit log).
We do not sell personal data and we do not use advertising or analytics cookies on this website.
Where it is processed
Data is stored and processed on the servers of our hosting provider. Each business’s application data is kept in a database of its own, separate from every other business. If your business connects its own Stripe account or WhatsApp Business number in our applications, the data needed for those payments or messages is sent to Stripe or Meta under your business’s agreement with them.
How long we keep it
| Data | Kept for |
|---|---|
| Demo business and its sample data | Deleted automatically 7 days after it is created (longer only if the demo is extended). You are emailed 2 day(s) before. |
| Demo request contact details | Anonymised 30 days after the demo is deleted. |
| Contact requests | Anonymised 365 days after the request was last updated, unless you become a customer. |
| Sign-ups whose first invoice is never paid | Cancelled after 30 days; the data then follows the rule for cancelled customers. |
| A cancelled customer’s application data | Deleted 90 days after the last subscription is cancelled. Contacts, portal accounts and domains are then removed and the business is anonymised. |
| Final backup before deletion | Kept 30 days, then deleted. |
| Invoices | Kept for accounting and never deleted. An anonymised business keeps only its business name on its invoices. |
| Audit log | 730 days. |
| Technical records and usage figures | 180 days (the latest usage figure and the record that a business was created are kept while the business exists). |
| Expired sign-in links | 7 days after they expire. |
A legal obligation or dispute can require us to keep the data of a specific business longer (a “legal hold”); deletion resumes when it is lifted. Deletions run automatically every hour.
Your rights
You can ask us for a copy of your personal data, to correct it, or to delete it earlier than the periods above where the law allows. Data your business enters in our applications can be changed or deleted by your business directly; for anything else write to contact@nextgenlb.io.
Cookies
This website and our applications use only functional cookies: a session cookie, a security token for forms and, in the applications, cookies that remember a till, kiosk or check-in device a business has set up. Each business’s application uses its own cookies, which are not shared with other businesses.
